As a consultant, your "product" is your expertise, which means your overhead often looks different than a retail store or a manufacturer. The IRS allows you to deduct expenses that are ordinary and necessary to maintaining and growing your practice. Use this list to help organize your records for the 2025 tax season.

🏠 Home Office & Utilities

Since many consultants work remotely, this is often the largest deduction.

  • Home Office: You can deduct a portion of your rent/mortgage interest, insurance, and property taxes if you have a designated space used exclusively for business.
  • Utilities: A percentage of electricity, gas, water, and trash services based on the square footage of your office.
  • Internet: The business percentage of your high-speed internet bill.
  • Cell Phone: The percentage of your mobile phone bill used for client calls and business apps.
💻 Software & Technology
  • Hardware: Laptops, monitors, webcams, microphones, and tablets.
  • SaaS Subscriptions: Project management tools (Asana, Trello), Communication (Slack, Zoom, Microsoft Teams), and Cloud Storage (Dropbox, Google Drive).
  • Specialized Software: Industry-specific tools (Adobe Creative Cloud, CAD, Coding tools, Accounting software).
  • Web Services: Domain hosting, website builders (Squarespace, WordPress), and email marketing platforms (Mailchimp, Constant Contact).
✈️ Travel & Client Meetings
  • Mileage: Miles driven to client sites, networking events, or the airport (Standard Mileage Rate or Actual Expenses).
  • Airfare & Transit: Flights, trains, Ubers/Lyfts, and rental cars for business trips.
  • Lodging: Hotels or Airbnb stays for business travel.
  • Business Meals: 50% deductible for meals with clients or prospects where business is discussed.
  • Per Diem: If traveling overnight, you may be able to use the GSA per diem rates for meals/incidentals instead of keeping every food receipt.
📚 Education & Professional Development
  • Training: Seminars, webinars, and online courses to maintain or improve skills required for your current business.
  • Certifications: Exam fees and renewal costs for professional designations (e.g., PMP, CPA, SHRM, Six Sigma).
  • Books & Journals: Industry-relevant books, trade magazines, and paid newsletters/subscriptions (e.g., HBR, WSJ).
🤝 Marketing & Networking
  • Online Presence: Website design, SEO services, and logo design.
  • Advertising: LinkedIn Premium/Sales Navigator, Google Ads, or industry directory listings.
  • Networking: Fees for BNI groups, Chamber of Commerce memberships, or Mastermind groups.
  • Client Gifts: Deductible up to $25 per client per year.
🛡️ Insurance & Outsourcing
  • Professional Liability: Errors & Omissions (E&O) insurance.
  • Business Insurance: General liability or cyber liability policies.
  • Subcontractors: Payments to Virtual Assistants (VAs), graphic designers, or junior consultants. (Note: If you pay them >$600/year, you must file a 1099-NEC).
  • Legal & Professional: Fees paid to lawyers for contracts and accountants for tax prep.
⚠️ Important Compliance Note
  • Exclusive Use Rule: Working from your dining room table usually does not qualify for the Home Office Deduction. The space must be used exclusively for work.
  • 1099 Requirements: If you hire subcontractors (web designers, assistants) and pay them more than $600 in a year, you must issue them a Form 1099-NEC by January 31st to deduct that expense.
  • Paper Trail: Always keep contracts and invoices that prove the business nature of the expense.
