Cleaning businesses have high volume, low margin expenses. You buy thousands of dollars in "consumable" supplies and put heavy miles on your vehicles. Tracking these "ordinary and necessary" expenses is critical to lowering your taxable income. Use this checklist for the 2025 tax year.
🧽 Supplies vs. Equipment (Know the Difference)
The IRS treats "supplies" (used up quickly) differently than "equipment" (lasts years).
Consumable Supplies (100% Deductible Immediately):
- Chemicals: Bleach, glass cleaner, floor wax, disinfectant, and furniture polish.
- Disposable Gear: Latex/nitrile gloves, shoe covers (booties), trash bags, and paper towels.
- Small Tools: Sponges, microfiber cloths, scrub brushes, mop heads, and spray bottles.
- Client Consumables: If you provide toilet paper, hand soap, or liners for a client's facility, this is a deductible supply cost.
Equipment (Depreciated or Expensed):
- Heavy Machinery: Floor buffers, auto-scrubbers, carpet extractors, and pressure washers. (Note: You can usually write these off in year one using "De Minimis Safe Harbor" if under $2,500, or Section 179).
- Vacuums: Commercial uprights, backpacks, and canister vacuums.
- Carts: Janitor carts and rolling refuse bins.
🚗 Vehicle & Travel
- Mileage (The Big One): Driving from client to client is 100% business mileage. Driving from your home to the first client is "commuting" (not deductible) unless your home is your principal office (see below).
- 2025 Standard Rate: ~70.5 cents per mile.
- Actual Expenses: If you have a dedicated work van full of chemicals/equipment, the Actual Expense method (Gas, Insurance, Repairs, Depreciation) often yields a higher deduction than mileage.
- Parking: Fees paid to park downtown for commercial cleaning jobs.
🛡️ Insurance & Bonding
- Janitorial Bond: The "dishonesty bond" you buy to protect against theft accusations is 100% deductible.
- General Liability: Insurance for damage to client property (e.g., breaking a vase or ruining a carpet).
- Workers' Comp: Mandatory if you have employees; fully deductible.
- Commercial Auto: Premiums for your work vehicles.
👥 Labor: Employees vs. Contractors
- W-2 Employees: Wages, payroll taxes (employer match), and uniform laundering costs are deductible.
- 1099 Subcontractors: If you hire other independent cleaners to help you:
- You can deduct what you pay them.
- CRITICAL: You must file Form 1099-NEC if you pay any person >$600 in a year. If you don't file this form, the IRS can disallow the deduction!
📢 Marketing & Admin
- Lead Gen: Fees paid to Angi (Angie's List), Thumbtack, TaskRabbit, or Google Local Services Ads.
- Uniforms: Branded polo shirts, aprons, or vests. (Note: Regular yoga pants or t-shirts are NOT deductible, even if you only wear them to clean).
- Software: Subscriptions to Jobber, Housecall Pro, or QuickBooks.
- Background Checks: Fees paid to vet new employees (essential for trust in this industry).
🏠 Home Office (The "Storage" Exception)
- Administrative: If you have a desk used exclusively for billing/scheduling, you can deduct a % of rent/utilities.
- Inventory Storage Rule: Unlike other businesses, if you use your garage/basement to store inventory (chemicals/paper products) and your home is your only fixed location, you can often deduct that space even if it isn't exclusively used for business.
⚠️ Important Compliance Note
- Sales Tax: Many states (like Texas, Florida, and Pennsylvania) charge Sales Tax on Cleaning Services (both residential and commercial). You must collect this from the client and remit it to the state. It is not an expense, but failing to do it is a massive liability.
- Contractor Misclassification: If you hire cleaners, tell them when to show up, provide their supplies, and train them, they are likely Employees, not Contractors. Misclassifying them to avoid payroll taxes is a high-risk audit trigger in the cleaning industry.
